Situation Vacant: Property Administrator

Currently to aid our expansion we have a requirement for a Property Administrator (Lettings) to work initially approximately 37.5 hours per week (Monday to Friday) within the lettings agency. This is an office-based role reporting to the Lettings Manager and working closely with the Administration Lead (Lettings) and to a lesser extent with the Business Development and Marketing Lead. The main job responsibilities will be as follows:

Location: Office based, East Brabourne, Ashford

Hours: 37.5hours per week, Full time, Monday – Friday

The Role: Property Administrator

  • Acting as one of the main points of contact of the lettings agency throughout the working day and working week, particularly when the Lettings Manager or other staff are away from the office on appointments.
  • Providing general administrative support to the Lettings Manager, Administration Lead and Business Development and Marketing Lead.
  • Helping the Administration Lead and Lettings Manager deal with property maintenance in response to tenant reports.
  • Monitoring and maintaining IT-based maintenance reporting and tracking systems.
  • Coordinating with contractors and tenants to arrange access to properties for maintenance and inspections.
  • Working with Property Manager to coordinate regular property inspections.
  • Helping the Administration Lead deal with and manage the tenancy process through its life cycle; issuing letters and notices to tenants.
  • Undertake CPD training to work towards a recognised lettings industry qualification such as ARLA Propertymark Level 3 – Residential Lettings & Property Management (England & Wales).

The Person:

The ideal applicant will have the following key skills:

  • An excellent phone manner when responding to enquiries and dealing with customers, tenants and contractors.
  • Some understanding of experience dealing with property related issues, maintenance contractors and speaking to materials suppliers.
  • A general aptitude for web-based computer systems and phone services for typical office applications including but not limited to: MS Outlook, Microsoft Office, Drop Box, WhatsApp, Facebook etc.
  • Good coordination and organisational skills.
  • Able to work independently and with initiative at times.
  • Would have an interest in contributing to the growth of the business.
  • Open to learning new systems and ways of working.
  • Able to work in a small but growing team.
